Optimum.net Holds

Emails to optimum.net ISP customers may result in a hold and/or delay. Currently, Optimum has an identified an IP address within the same range as one of our own addresses (but outside of our system) and is holding mail for addresses within that range. Again, the originating issue is outside of our network. We are working with both our spam filtering service and optimum.net towards an immediate correction and permanent resolution to prevent this from happening moving forward.

O365 Transition Process Update – RESOLVED

We are updating the process for transitioning existing Office 365 customers to our platform. During this revamp, transitions can be started in the control panel but will be completed via a partially manual process. Please open a ticket with our support team and our engineering team will handle the rest of the process. All users and licenses will be populated into the control panel, just as would happen with the fully automatic transition process.

Our engineers and development team are working to complete the updates and we will apprise you of the restoration of the fully to automated transition process as soon as it is back in service.

Antivirus Signatures Update: Virus Win.Exploit.CVE_2019_0903-6966169-0

Effective Saturday, May 25th, antivirus signatures were updated in the SpamTitan filter to protect against a new potential virus known as Win.Exploit.CVE_2019_0903-6966169-0. This virus exploits a Windows vulnerability that allows for remote code execution, allowing for the virus to remotely execute programs such as ransomware on any current version of Windows. One major vector for viruses of this nature are PDF files, as well as macro-enabled Word and Excel documents and Trojan Horses.

The Windows exploit currently does not have any patches or fixes, so it does pose a significant threat to all users.  Following the introduction of the new antivirus signature, SpamTitan appears to be aggressively blocking PDF attachments in particular. Some customers may find the blocks too aggressive. While it is not recommended, our support team is able to modify the block rule for individual domains or users to simply tag emails with suspected virus attachments rather than blocking them. If you would like to have this change made, please contact our support team.

SpamTitan Cutover Update

The final phase of the SpamTitan cutover was completed on Tuesday, May 21st. Following a staged transition that took place over several days prior to “warm up” the sending addresses, the outbound mail routing of the remaining domains was changed to the SpamTitan systems. Systems were monitored closely during all phases of this changeover. As our network addresses did not yet have a pre-established reputation as a safe sender, some unexpected situations were encountered that led to some minor delays and some bounces of outbound mail for a few users. Mail flow was never halted entirely, nor was complete blockage encountered on any receiving domain. However, any potential disruption is unacceptable to our team. We have worked vigorously with the affected email hosting providers to ensure any deferments were resolved as quickly as possible.

At this time, all reported blocks of our outbound IP addresses have been cleared. We are continuing to closely monitor our systems to ensure that additional issues do not arise. We cannot apologize enough for any inconvenience that was caused by the transition process. If you have any further concerns or experience any issues please notify our support team immediately.

Outbound Email Delays and Bouncebacks

In our effort to move to a more robust, secure and feature-rich spam filtering system, some errors occurred during the transition away from Roaring Penguin today that caused some customers to experience mail delays. These delays are unacceptable to us and we have made system-wide changes to resolve the issue. The details are as follows:

During the process of our system-wide switch away from Roaring Penguin, email was temporarily held in our queues to ensure proper routing through the new system. This temporary hold, as well as the subsequent processing of the held and new email, caused delays with both inbound and outbound email for some users. The release of the large volume of outbound email appears to have resulted in the graylisting of email from our servers to certain email providers, such as Gmail and Yahoo. Graylisting occurs when an email provider places a temporary block on messages from a particular source as a method to protect against possible spam. Graylists automatically expire after a period of time, however, during that time any email from that source may be bounced by the recipient email provider.

In order to resolve the delays and graylisting issue without having to wait for those graylists to expire, we have switched our outbound traffic to alternative nodes so it does not appear to all be sending from the same source. This change was implemented at approx. 4:40 pm EST. Any new email sent after that point should deliver normally to their intended recipients. We recommend users re-send any emails that have already resulted in “undeliverable” bounces to ensure proper delivery.

SpamTitan Spam Filter Changeover and Outbound Mail Relay

The default outbound relay provider for email has been changed to SpamTitan. Customers who have opted to use an independent/external spam filter provider may experience a temporary delay in mail flow if the configuration for that independent provider is incomplete and does not include information for both inbound and outbound mail flow. For customers on the Exchange 2013 platform, the outbound mail configuration can be set via the Control Panel. For customers on the Exchange 2010 platform, please open a helpdesk ticket and we will be happy to assist you with setting the necessary configuration.

CRM 365 Authentication Update —Thursday, November 29, 2018

We are updating the authenticating systems for CRM 265. This is part of an ongoing effort to update our system’s security with new SSL protection. We anticipate that the updates will take several hours and we expect full service to be restored this evening.
